Pay As You Go | Per Click Charge

When you enter into a pay-per-click service contract, there is no commitment or guarantee whether or not you actually make the required minimum per month. it’s simply paid as you go! The vendor basically inquires about the monthly volume that you produce and charges you based on that! These types of contracts are for customers with a very low volume of printing or copying.

Monthly Commitment

When you sign a copier service contract, you commit to a monthly minimum number of prints (clicks). You’ll pay this amount whether you use all the prints or not, and extra charges apply if you exceed the limit.

It’s crucial to estimate your office’s actual print volume before committing to a contract to avoid unexpected costs. Service providers often charge a different rate for overage clicks compared to the included clicks, ensuring they secure more guaranteed revenue upfront. Be sure to review the overage pricing details carefully before signing to avoid surprises.

Service Contract Terms

What’s Included in a Copier Service Contract

A typical copier service contract covers everything except paper—think toner, drums, fusers, maintenance, and most repair work. If you have a finisher, staples might be the only extra. These plans are designed to take the burden off your team so you can stay focused on work—not copier problems.
But not all contracts are created equal. Some come with hidden fees or vague terms buried in the fine print. We’ve seen it all—clauses that sneak in charges, limit coverage, or even void support. Always read the fine print so you know exactly what you’re getting.

Our Agreement Policy

1. GENERAL SCOPE OF COVERAGE

This agreement covers labor, toner and all Consumables (Toner, Drum, Fuser, ADF Rollers, Paper cassette rollers, Transfer rollers) for adjustments and repairs as required by normal use of the equipment except as hereinafter provided. Damage to the equipment or its parts arising from misuse, abuse, negligence, or causes beyond the DIGITRONIX ONE control are not covered. 
DIGITRONIX ONE may terminate this agreement in the event the equipment is modified, damaged, altered or serviced by personnel other than those employed by the DIGITRONIX ONE, or if parts, accessories or components not authorized by DIGITRONIX ONE are fitted to the equipment.

2. EXTENT OF SERVICES

Labor performed during a service call includes lubrication and cleaning of the equipment, Adjustments, repairs, replacement of consumable items. All Consumable items will be original brands – no third-party chemicals will be used. Unlimited service calls, including travel time and mileage under this agreement, will be made during normal business hours at the customer’s installation address.

NOTE: 
Our working Hours are Monday through Friday 9 am until 5 pm we are closed Saturday and Sundays also Holidays.
Our response time would be same day if customer calls us before 12pm any service requests after 12pm will be scheduled Next day.
DIGITRONIX ONE will provide service calls as requested by the customer. Customer understands that alterations, Attachments, specification changes, parts or service necessitated by negligence, accident, and use of unsuitable supplies or unauthorized interference with the equipment will be charged at the normal rate of $165/hour.

3TERM

This agreement shall become effective upon receipt by DIGITRONIX ONE of the signed contract and shall continue for one year. This copier contract can be renewed after reassessment. Both parties may terminate this agreement at any time by giving 30 days prior written notice to the other party and the unused portion of the Maintenance charge will be refunded.

4. CHARGES

The initial 3 months charge for maintenance under this agreement shall be the amount set forth below. Coverage is billed at a rate per copy. (If applicable) Any extra copies will be calculated quarterly, and invoice will be issue based on that rate will be same as explained bellow.  This amount shall remain the same for the length of the contract on each copier. Customers agree to pay the total of all charges within 15 days of the date of DIGITRONIX ONE invoice for such charges. Customer can choose to have Credit card in file with us for easy processing.
There will be CC transaction fee applies to invoice based on the total charge.

5. COPIER/NETWORK SYSTEM

The items covered under this agreement are the Consumables and mechanical item only (Drum, Fuser, Toner, Cassette rollers, ADF rollers and labor). Any parts of service necessitated by the software, cabling, network configuration or anything else not, as part of this system will be charged at a prevailing rate for our connected product line. Accidental damage such as broken external cover doors, damage to LCD unit by force that shattered the glass or dropping any type of liquid causing damage to LCD or internal electronic parts are not cover by this agreement.

6. Parking access and Fee

We would like to clarify our parking access and fee policy for technician services at your building. To ensure efficient service and minimize any unnecessary charges, we kindly request that our technicians be granted access to building parking free of charge or be provided with parking validation during the time they are performing their duties.
Please note, if parking validation or free access is not available, we will apply a standard parking fee of $35 for each service visit. This fee will be added to the service invoice to cover parking expenses incurred by our team.

7. What is not included

This agreement specifies that damage to exterior components such as covers, doors, displays, and any other exterior items will not be covered if the damage is caused by accidents, misuse, electrical failure, or improper shutdown.

Here’s a breakdown of each exception:

Accidents: If the damage is caused by an unexpected or unintended event (e.g. hitting a door or dropping something on the display), this will not be covered by the agreement.
Misuse: If the exterior components are damaged due to improper handling, using the product in an unintended way, or neglecting proper maintenance, this is also not covered.
Electrical Failure: If the damage results from issues like power surges, faulty wiring, or electrical malfunctions that are not related to the product’s manufacturing or design, the agreement will not cover the repairs or replacement.
Improper Shutdown: If the equipment is turned off incorrectly, such as not following the correct shutdown procedure, and this results in damage, it will not be covered.
In essence, the agreement excludes coverage for damages arising from user errors, accidents, or technical faults that occur due to improper handling or external factors beyond the product’s standard operational issues.
